Our Commitment to Privacy

IDeaS (“IDeaS” or “we” or “us”) cares about your privacy and is committed to processing your personal information in accordance with fair information practices and applicable data privacy laws.  We are providing this privacy statement to (i) describe how we collect, use, protect, share and transfer your personal information and (ii) explain the choices you can make about the way your personal information is collected and used, and how to exercise those choices and rights with IDeaS.

Scope of this Privacy Statement

This Privacy Statement applies to personal information we collect when you visit www.ideas.com or any other websites and mobile apps we operate that reference or link to this Privacy Statement (the “Websites”).  It also applies to information we collect from or about you in other ways, including through technical support contacts, on registration forms, in person (e.g., business cards), and from third parties. If we provide a separate or supplemental privacy notice when we collect personal information from you, that notice will control to the extent of any conflict.

This Privacy Statement does not apply to information that we access or collect when we provide products, solutions, and consulting services to our clients (such information, “Services Data”).  IDeaS’ practices with respect to Services Data are governed by agreements entered into between IDeaS and our clients. Information included in the materials that we receive and process on our clients’ behalf through our IDeaS Software as a Service products and solutions activities are subject to the IDeaS Software as a Service Privacy Policy.

Personal Information We Collect and How We Collect It

When you visit the Websites, or otherwise interact with us, we gather different types of personal information about you.  You can choose to provide some of this information directly, for example by filling out online forms.  We collect other information automatically when you use the Websites, such as technical information about the device you use and information about how you interact with the Websites.

Depending on how you interact with us, the information IDeaS may collect about you includes:

  • Contact information such as your name, postal address, telephone number, and e-mail address;
  • Information about your employer, job role, professional interests, and experiences with our products or services;
  • Business and marketing information that help us provide our services to you, including your contact, language, and marketing preferences;
  • Transaction information, including purchase history, order and contract information, delivery and technical support details, and billing and payment information;
  • Technical information relating to your use of the Websites, such as details about your device and your browser, network routing information, what pages of our Websites you visit and when, and your IP address; and
  • Security information used for authentication and fraud prevention.

We collect this information from you in several ways:

  • Through emails you send, or forms and chatbot you engage with through the Websites, to request information or a demo, to subscribe to our newsletter, or to access our webinars or white papers;
  • By email, telephone, or in person as part of an ongoing sales process;
  • In person at conferences, tradeshows, and other industry events;
  • Through automated means such as communications protocols, cookies, web beacons and pixels, and other related technologies as described in the “Cookies and Similar Technologies” section below;
  • Through our mobile applications (some of which may be managed by third parties on behalf of IDeaS);
  • Through your participation in surveys, contests, and promotions;
  • Through your use of social connectors and IDeaS-affiliated social networking areas, including interactions with us on third-party social media platforms;
  • Through your interest in IDeaS ads placed on third-party sites;
  • By using statistical analysis or other automated means to make inferences about you and your interest in particular IDeaS products and services; and
  • Through Partners where you have expressed your interests in IDeaS services.

Where permitted by applicable law, other information that we gather about you from social media platforms and other sources may be combined with the information you provide to us directly.

We will only collect the information that we deem necessary for the purposes listed below in the “How we use your Personal Information” section.  As a result, we may not be able to address a request or provide a product or a service if we are missing some of this information.

Cookies and Similar Technologies

We use certain technologies, including “cookies,” web beacons or pixels, and other similar technologies to collect information about your use of the Websites and to provide tailored information to you.

A cookie is an element of data that a website can send to your browser, which your browser may then store on your system. Cookies can either be temporary (i.e., they last only until you close your browser), fixed in duration (i.e., they expire after a set period of time), or persistent (i.e., they remain on your computer or device until you delete them).  We use both temporary and persistent cookies.

IDeaS uses first-party cookies that we control to provide services on our Websites.  Certain types of cookies are necessary for our Websites to function properly.  Some pages on our Websites use cookies that support site functionality, for example, to help you access secure areas. Where permitted by applicable law, IDeaS may set these types of cookies without requesting your consent.

We may also use cookies that are set by IDeaS and by our third-party service providers to collect usage information that we use to improve how the Websites work. Depending on your browser settings, some of this information may also be shared with third-party analytics providers. Cookies may also be used on our Websites to remember certain choices you make, such as your geographical region, your username, or other personalization or customization. We use these cookies to improve your user experience so we can better serve you when you return to the Websites; in some instances, these technologies may be used to identify you across platforms or other devices in order to help us deliver a consistent user experience. Where permitted by applicable law, IDeaS will consider your use of the Websites as your consent for IDeaS to set these types of cookies.

IDeaS also works with select third-party partners who set cookies to serve you IDeaS-related content, including IDeaS advertisements, on their sites or elsewhere on the internet, for remarketing and ad personalization. This remarketing technology may be based on your prior visits to our Websites combined with other information collected by the third party subject to their privacy policies and your browser settings. IDeaS also sets cookies that look at your preferences when you use the Websites so that IDeaS may offer you tailored marketing content, such as white papers, that you may be interested in. You may need to enable these kinds of cookies in your browser to allow this customization; or you may set your browser to notify you when you receive a cookie, giving you the chance to decide whether to accept it. In certain jurisdictions, you must set your preferences before using our Websites. If you are not in these jurisdictions, by using our website you agree that we may place required, functional and advertising cookies on your system or otherwise update your cookie preferences.

For more information or to block the cookies that are set by IDeaS, please refer to user information provided with your web browser and review the Do Not Track and Global Privacy Control information below. Your browser’s Help function can instruct you how to block cookies.  Please note that if you disable cookies, some Website functionality may be limited.

Some of our web pages and HTML-formatted e-mails use web beacons in conjunction with cookies to compile statistics about Website usage. A web beacon is an electronic image, called a single-pixel (1×1) or clear GIF. Web beacons can recognize certain types of information on a visitor’s computer, such as a visitor’s cookie number, time and date of a page view and a description of the page where the web beacon is placed. You may render some web beacons unusable by rejecting their associated cookies.  These web beacons are sometimes used to help us analyze web behavior and to enable advertising content on third-party sites as described above.

In addition to the specific purposes described above, we may use any of these and other similar technologies to capture specific information related to your use of the Websites, such as the pages you view, the items you download, the links you click, your access times, and your Internet Protocol (IP) address, domain name, and system configurations and settings.  As described below, we may use this information to help us understand how you use the Websites, serve you relevant content, and to assist you with questions you may have regarding our products and services.

How We Use Your Personal Information

IDeaS may use your personal information in the following ways:

  • To respond to inquiries about our capabilities and offerings and to fulfill requests for information and resources such as white papers or webcasts;
  • To process and complete transactions and send you related information, including purchase confirmations and invoices, and to perform related accounting, auditing, billing, reconciliation and collection activities;
  • To provide customer service and support and send you technical notices, updates, and support and administrative messages;
  • To send you promotional or marketing communications, or otherwise to inform you about important news about IDeaS, our new products and services, events and special offers we think you may be interested in;
  • To make the Websites easier for you to use, such as by identifying you across platforms or devices for a consistent user experience, and customizing content and advertising to match your interests and preferences;
  • To monitor and analyze usage of the Websites to allow us to improve the websites and for marketing or advertising purposes;
  • Where you provide feedback and feature requests, to develop and improve our products and services;
  • To protect the security and integrity of the Websites and our other technical assets;
  • To prevent and detect fraud or other prohibited or illegal activity;
  • To meet legal requirements, to respond to legal process and government requests, and to establish, exercise, or defend against legal claims;
  • For other purposes for which we obtain your consent.

In addition, we analyze our web services such as browser session page views, registrations, demos, downloads, and email responses in aggregate and sometimes at the individual level in order to improve the quality of those offerings and to better tailor our marketing to our customers’ needs. We may also use statistical analysis to accomplish the purposes listed above, including to better understand your marketing preferences and tailor our offerings to you.

How We Share Your Personal Information

We will not sell, rent, lease, or disclose your personal information to others except as described in the Privacy Statement.

We may share your personal information with our affiliates and with our parent company and its affiliates in furtherance of the purposes described above.

We may also disclose your personal information to unaffiliated third parties, including:

  • Our vendors, subcontractors, processors, and business partners in furtherance of the purposes described above;
  • Any party with whom we enter into a transaction to sell or transfer of all or part of our business or assets;
  • In response to a request from law enforcement or other government officials;
  • In response to subpoenas, court orders, or legal process, or to establish or exercise our legal rights or defend against legal claims; and
  • As we otherwise believe is necessary to protect our rights or property, including the security and integrity of the Websites.

Choice / Opt-Out

IDeaS offers you the choice of receiving different types of communications and information related to our company, products and services. You may elect to receive our newsletter, webinar invitations, industry-related thought leadership, and other offers by email by completing the forms or chatbot experiences on our Website or accessing IDeaS Marketing Preferences.

If at any time you would like to change your communication preferences, or opt out of receiving promotional communications from us, we provide unsubscribe links in all our emails, or you can update your IDeaS Marketing Preferences through our Website.

Do not track (DNT)

Do not track is a privacy preference that you can set in your web browser. When you turn on the do not track signal, the browser sends a message to websites requesting them not to track you. For information about do not track, visit http://www.allaboutdnt.org. If you enable DNT, our cookie preferences tool will automatically turn off all targeting cookies on our websites in response to the signal from that browser or device.

Global Privacy Control (GPC)

Global privacy control is a browser-based technical specification that you can use to signal your privacy preference for behavioral advertising.  Certain browsers and extensions will allow you to enable GPC or enable GPC by default; you can learn more at http://www.globalprivacycontrol.org.  If you enable GPC, our cookie preferences tool will automatically turn off all targeting cookies on our websites in response to the signal from that browser or device.

Our Commitment to Data Security

IDeaS takes care to guard the security of your information. We use physical, technical and organizational measures that are reasonably designed to protect personal information against accidental or unlawful destruction, loss, or alteration; unauthorized disclosure or access; and against all other unlawful forms of processing. Although no information security system is impenetrable, IDeaS maintains a comprehensive information security program that is proportionate to the risks associated with the processing. We use enhanced security measures when processing any sensitive information, such as by employing encryption technology when collecting or transferring payment card information.

Data subject rights

You have certain rights regarding our processing of your personal information under applicable data protection laws. This section describes these rights and how you can exercise them.  Please note these laws may provide limitations or exceptions that apply to these rights. We have described these rights generally, without noting all applicable jurisdictions, limitations, or exceptions. When you make a request to exercise any of these rights, we may provide more detailed information regarding any exceptions or limitations that apply.

  • Right to know. You have the right to ask us to confirm whether or not we process your personal information, the categories of personal information we have collected and the sources from which we collect it, our purposes for collecting your personal information, the categories of third parties to whom we disclose your personal information, and the specific pieces of personal information we have collected about you.
  • Right to access. You have the right to request a copy of your personal information and supplementary information.
  • Right to correction/rectification. You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete information you believe is incomplete.
  • Right to erasure/deletion. You have the right to request that we erase or delete your personal information, under certain circumstances and subject to certain exceptions.
  • Right to restriction of processing. You have the right to restrict the processing of your personal information, under certain circumstances.
  • Right to data portability. You have the right to receive personal information you have provided to us in a structured, commonly used and machine-readable format that allows you to transmit the data to another controller without hindrance. You also have the right to request that we transmit this data directly to another controller.
  • Right to withdrawal of consent. In the event our processing of your personal information is based on your consent, you may withdraw your consent at any time. The withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.
  • Right to object to processing. You have the right to object to the processing of your personal information at any time, under certain circumstances.
  • Right to opt out of our processing, “sale,” or sharing of personal information for targeted or cross-context behavioral advertising. In certain jurisdictions, you have the right to opt out of our processing, “sale” (as that term is broadly defined in the California Consumer Privacy Act), or sharing of your personal information for targeted or cross-context behavioral advertising, which means displaying advertising to you based on personal information obtained or inferred from your activities over time across different websites, applications, and other online services we do not operate. You may exercise this right by visiting our Cookie Preferences link to disable targeting cookies.  You may also opt out of the processing or sharing of your personal information for targeted or cross-context behavioral advertising in a frictionless manner through the use of an opt-out preference signal such as Global Privacy Control of Do Not Track.   Please note that even if you opt out of allowing us to use or disclose your personal data for targeted or cross-context behavioral advertising, you may still see our ads on other websites, applications, and online services, and we may still base aspects of our advertising on your interactions with us and our websites.
  • Non-Retaliation.   You have a right not to receive discriminatory treatment for exercising the rights described above.

Exercising your rights

Except as otherwise noted above, to exercise any of the above rights or if you have any questions about this Privacy Notice, please submit them through our IDeaS Data Privacy Rights Request Form or by emailing privacyrights@ideas.com.

  • Making a Request; requests by others on your behalf. Only you, or someone legally authorized to act on your behalf (this includes an authorized agent), may make a verifiable consumer request related to your personal information using the methods described above. The response we provide will also explain the reason we cannot comply with a request, if applicable.
  • Fees. You will not have to pay a fee to access your personal information or to exercise any of the other rights. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.
  • Information we may need from you. We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information or to exercise any of your other rights, such as your first and last name, email address, mailing address, telephone number, or other information necessary to verify your identity or that your representative is authorized to act on your behalf. This is a security measure to ensure that personal information is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to assist with our response. Any personal information provided to us for verification and fraud-prevention purposes will only be used for that purpose and such information will be deleted as soon as practical after processing your consumer request.
  • Timing. We try to respond to all legitimate requests within one month of receipt of the request. Occasionally, it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

You may also make a complaint about our processing of your personal information to a relevant data protection supervisory authority. We would, however, appreciate the opportunity to address your concerns before you do so.

This section of this Privacy Statement applies solely to residents of the State of California, to the extent the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act (“CPRA”) (collectively the “CCPA”), applies to IDeaS’ processing of their personal information (these individuals are referred to in this section as “California Consumers”). This section serves as the “Notice at Collection” required by the CCPA. As it relates to California Consumers:

The term “personal information,” when used in this Privacy Statement, has the same meaning as specified in the CCPA. Personal information does not include de-identified or aggregated information, or any other information the CCPA excludes from its scope.

Our statement that IDeaS “will not sell, rent or lease to others your personal information” includes any actions that meet the definition of a sale of personal information under the CCPA.

CCPA Rights of California Consumers
The CCPA provides California Consumers with certain rights regarding their personal information. IDeaS will honor verified requests to exercise those rights, and will not discriminate against you, in any manner prohibited by applicable law, for exercising these rights.

  • Accessing information IDeaS has collected about you
    Upon request, IDeaS will provide California Consumers with information about our collection and use of your personal information over the last 12 months, including categories and specific pieces of personal information IDeaS has collected about you, our business purpose(s) for collecting them, and the categories of third parties with whom we share them.
  • Requesting that IDeaS delete your information
    You may request that IDeaS delete any personal information it has collected about you. This right is not absolute, however, and under some circumstances IDeaS may decline to delete your personal information where permitted by the CCPA.
  • Opting Out of Sale or Sharing

We do not sell personal information to third parties in exchange for money. However, as we explain above, we share information with advertising partners and allow advertising partners to collect information from our websites. This exchange may be considered a “sale” or “sharing” under California law, and you have the right to opt out of this “sale” or “sharing” of personal information.

Exercising your CCPA rights
California Consumers can exercise their rights under the CCPA by visiting IDeaS Data Privacy Rights Request Form where requests can be made in a web form, by email, or by telephone. Regardless of how you make your request, please provide sufficient detail for IDeaS to properly assess and respond to it. IDeaS may be unable to respond to incomplete or vague requests. IDeaS reserves the right not to respond to requests generated through third-party applications or automated processes without direct validation of the requests by data subjects using the resources provided by IDeaS for the exercise of these rights as described in this Statement.

  • Verification of Identity
    IDeaS will require you to verify your identity before proceeding with your request. Requests made by someone acting on your behalf will require verification of the identity of you, the person acting on your behalf, and a valid power of attorney. Verification may require you or your representative to provide one or more forms of valid government identification.

Our Worldwide Practices

IDeaS is a United States-headquartered organization with affiliates and business partners in many countries, and with technical systems that cross borders. As a United States company, the personal information we collect will be stored and processed primarily in the United States, but we may also collect, transfer, process, and store personal information in any other country in which we, our affiliates, and our parent company and its affiliates maintain facilities for the purposes of data consolidation, storage, and simplified customer information management.  IDeaS may also transfer and process your personal information to our vendors, subcontractors, processors, and business partners who perform services on our behalf in the United States and other countries that may not provide for the same level of data protection as your jurisdiction, such as the European Economic Area (“EEA”), Switzerland and the UK. Where applicable law requires us to utilize a data transfer mechanism, we rely on adequacy decisions as adopted by the relevant authorities, standard contractual clauses issued by the relevant authorities; or pursuant to established derogations for specific situations. By using the Websites, you consent to any such transfer of information outside of your country of residence or the country where the data was collected. We will handle your personal information in a consistent manner, as described here, even if the laws in some countries may provide less protection.

Additional Information for Individuals in the European Economic Area, United Kingdom (UK) and Switzerland

This following is applicable to residents of the EEA, Switzerland and the UK whose personal data is covered by the General Data Protection Regulation (GDPR) Swiss Federal Data Protection Act (FADP) or the UK GDPR or UK Data Protection Act.

Your Rights and Choices

The GDPR, Swiss FADP and/or the UK Data Protection Act/UK GDPR provide you with certain rights regarding your personal data. A brief description of some of those rights follows:

• Access, Correction and Portability. You may reasonably access the personal data relating to you. You also have the right to request to correct incomplete, inaccurate or outdated personal data. To the extent required by applicable law, you may request the transmission of the personal data you have provided to us to you or another company.

• Objection. You may object to any uses or disclosures of your personal data that are not (i) required by law, (ii) necessary for the fulfillment of a contractual obligation or (iii) required to meet a legitimate need of IDeaS. If you do object, we will work with you to find a reasonable accommodation.

• Deletion. You may also request the deletion of your personal data, as permitted under applicable law. This may apply, for instance, where this information is outdated or the processing is no longer necessary or is unlawful; where you withdraw your consent to our processing based on such consent; or where we determine we should accommodate an objection you have raised to our processing. However, sometimes we may need to retain your personal data. For example, this may occur in situations in which we need to comply with our legal obligations, for the establishment, exercise, or defense of legal claims, or in some cases, to fulfill the purposes for which your information was gathered.

• Restriction of Processing. You may request that we restrict processing of your personal data while we are processing your request or complaint pertaining to (i) the accuracy of your personal data, (ii) the lawfulness of the processing of your personal data, or (iii) our legitimate interests in processing this information. You may also request that we restrict processing of your personal data if you wish to use the personal data for litigation purposes.

• Withdraw your Consent. You may withdraw any consent you previously gave us regarding the processing of your personal data at any time. Such withdrawal will not affect the lawfulness of the processing before your consent was withdrawn.

Changes to This Statement

If there are updates to the terms of this Privacy Statement, we will post those changes here and update the revision date in this document so that you will always know what information we collect, how we use it, and what choices you have. Your continued use of the Websites following the posting of changes to this Privacy Statement means you accept those changes.
